HubSpot and GoHighLevel, set up so every lead gets followed up
Most CRMs are half-set-up and mostly ignored. We configure the pipelines, follow-up automation and reporting that actually get used, mapped to how B2B companies and service businesses really sell.
Crisolva sets up and fixes HubSpot and GoHighLevel: pipelines, lead routing, follow-up automation, email and one report your team trusts. Every project starts with a free CRM audit. GoHighLevel setup costs $400, HubSpot setup $750 and a cleanup from $200, and everything is built in your accounts.
Setup from $400 · Cleanup from $200 · Built in your accounts
- Audit before any rebuild
- Built in your accounts
- No agency lock-in
Why CRMs stall
Why do so many CRMs end up half-set-up and ignored?
The software is rarely the problem. It gets set up once, around nobody’s actual process, and then left.
Leads that sit unassigned
A form comes in and lands in a shared inbox. Nobody owns it, nobody replies, and by Thursday the buyer has booked someone else.
A pipeline nobody updates
The stages don’t match how you sell, so the team keeps its own spreadsheet and the CRM drifts out of date.
Automations nobody trusts
Duplicate workflows, broken triggers and emails sent to the wrong list. After one bad send, everyone switches them off.
Reports that don’t match
The ads say 50 leads, the CRM says 30 and the bank account says something else. Nobody knows which number to believe.
Speed to lead
How fast should a business follow up a new lead?
Within the hour. In a Harvard Business Review study of 2,241 US companies, the ones that replied to a web enquiry within an hour were far more likely to turn it into a qualified lead. Most didn’t reply that fast.
7×
Nearly seven times as likely to qualify a lead when replying within an hour, rather than an hour later.
Source: Harvard Business Review, March 2011
60×
More than 60 times as likely as companies that waited 24 hours or longer.
Source: Harvard Business Review, March 2011
37%
Of the 2,241 companies studied, 37% replied within an hour.

What a working system does with every new lead:
01Minute 1
A first reply
The enquiry gets an answer straight away, by chat, text or email.
02Hour 1
Assigned and logged
The right person is notified, and the lead is logged with the page or campaign it came from.
03Days 1–3
Followed up
No reply yet? A follow-up email or text goes out, so nobody has to remember.
04Booked
Confirmed and reminded
A booked call gets a confirmation and reminders, and a no-show gets a link to rebook.
05Week 2 on
Nurtured or closed
Not ready yet? Useful follow-up continues until they are, or the lead is closed out cleanly.
The study is from 2011; the lesson hasn’t changed. The instant first reply comes from our AI lead capture. The CRM does everything after it.
Choosing a CRM
HubSpot or GoHighLevel: which CRM should your business use?
It depends on how you sell, not on which logo is fashionable. We set up both, so the recommendation follows your sales process.
| HubSpot | GoHighLevel | |
|---|---|---|
| Best for | B2B companies with a longer sales cycle and a growing team | Service businesses and lean teams |
| Entry price | Free CRM for up to 2 users; paid plans are priced per seat | Starter $97 a month, with unlimited contacts and users |
| Higher plans | Marketing Hub Professional from $800 a month; Sales Hub Professional from $90 a seat a month | Unlimited $297 a month; Agency Pro $497 a month |
| One-time onboarding fee | Professional: $1,500 (Sales Hub) or $3,000 (Marketing Hub). Enterprise: $3,500 or $7,000. Paid to HubSpot | None |
| Strongest at | Reporting, integrations, lifecycle email, scaling with headcount | Pipelines, booking, reviews, SMS and WhatsApp in one flat-priced tool |
| Watch out for | Costs rise with seats and contacts | Texting US numbers needs A2P 10DLC registration first |
What we build
What do our marketing automation and CRM services include?
Six pieces of one system, built in the order that stops leads getting lost: clean data first, then the pipeline, then the automation.
CRM setup & pipelines
HubSpot or GoHighLevel set up around how you actually sell: stages, properties, owners and the views your team needs.
You get: Stages that match your sales process, not a template.
Lead routing & scoring
Every new lead assigned to the right person straight away, with scoring so sales sees the qualified ones first.
You get: The right person sees the right lead, first.
Follow-up & nurture sequences
Emails and texts triggered by what a lead does, or doesn’t do, written in your brand voice.
You get: Follow-up that happens even when nobody remembers.
Email marketing
Lifecycle emails and newsletters sent from your CRM, so every message uses clean, current data.
You get: Email that reads like you, sent to the right list.
Integrations & tracking
Website forms, booking calendars, ads and chat feeding one record, with the source attached to every lead.
You get: One record per lead, showing where it came from.
CRM audit & cleanup
Duplicates merged, fields and stages tidied and broken automations repaired, before anything new is built.
You get: A CRM you can trust again, usually without a rebuild.
A CRM nobody uses is the most expensive kind. Adoption is part of the job, not an add-on.
How it runs
What happens after you request a CRM audit?
Five steps, following the same audit-first process as every Crisolva project. Most CRMs don’t need a rebuild; they need a cleanup, and the audit tells you which.

You receiveWhat’s broken, what’s salvageable and what to keep, as a recorded walkthrough or a written report.
02
Plan & approve
Before anything is built
You receiveA pipeline and automation plan mapped to your sales process, with a fixed price, for you to approve.
03
Fix & build
Once you approve
You receiveData cleaned up first, then pipelines, workflows, forms and integrations built in your account.
04
Train & hand over
At launch
You receiveLive training for your team, documentation for every workflow, and full admin access.
05
Report & improve
Monthly, on CRM Care
You receiveOne report your team trusts, and small changes as your process changes.
Your side: admin access to your CRM (it stays in your name), one person who owns the sales process, and time to approve the plan and join the training.
Deliverability & consent
Will your automated emails and texts actually arrive?
Automation fails quietly when messages don’t arrive or break the rules. We check these before switching any automation on.
| Rule | Applies to | What it requires | Source |
|---|---|---|---|
| Gmail bulk sender requirements | Anyone sending more than 5,000 emails a day to Gmail addresses, since February 2024 | SPF, DKIM and DMARC on your sending domain, one-click unsubscribe, and spam complaints kept below 0.3% | Google, via Help Net Security |
| A2P 10DLC registration | Business texts to US numbers from a standard 10-digit number | Your brand and each texting campaign registered with US carriers before you send | HighLevel Help Center |
| PECR consent (UK) | Marketing emails and texts to individuals and sole traders | Specific consent, or the soft opt-in for existing customers. Companies can be emailed; the ICO calls it good practice to keep a do-not-email list of businesses that opt out | ICO |
A workflow that sends from an unauthenticated domain, or to people who never agreed to hear from you, does more harm than no workflow at all.
Reporting
What should a CRM report show every month?
One source of truth for the numbers every other channel is judged on: leads, cost per lead and booked calls.
On page one
- New leads, by source
- Time to first response
- Stage-to-stage conversion
- Booked calls
- Revenue won, by source
Available, never the headline
- Total contacts
- Emails sent
- Open rates
When the ad platform and the CRM disagree, we report from the CRM. That’s where the real enquiries are.
Handover
What do you get when the setup is finished?
A system your team can run without us, that keeps running if we ever part ways.
An audit before any rebuild
What’s broken, what’s salvageable, and why.
Pipelines mapped to your sales process
Not a template from someone else’s business.
Lead routing that reaches the right person
So sales sees qualified leads first.
Reporting dashboards
That your whole team will actually open.
Documentation and live training
For every workflow we build.
Everything in your accounts
Under your ownership, with no agency lock-in.

- How messy the existing data is
- Which integrations you need
- HubSpot or GoHighLevel
What you don’t pay for
- The CRM audit
- Extras you didn’t approve: anything more is quoted first
- Access to your own CRM and data
Fit
Is Crisolva the right CRM team for you?

- Have someone who will own the CRM day to day
If the right-hand column describes you, say so. We’d rather point you to the right fix than sell you a rebuild.
FAQ
Frequently asked questions about marketing automation and CRM
What does a marketing automation agency do?
It builds the system that moves a lead from first enquiry to booked call without manual chasing: lead routing, scoring, follow-up emails and texts, reminders and reporting, all inside your CRM. Crisolva sets this up in HubSpot or GoHighLevel, and keeps it running if you choose CRM Care.
HubSpot vs GoHighLevel: which is right for my business?
HubSpot suits B2B teams that need deep reporting, integrations and a platform that scales with headcount, at a price that scales too: Marketing Hub Professional starts at $800 a month. GoHighLevel suits service businesses and lean teams that want pipelines, booking, reviews and SMS in one flat-priced tool, from $97 a month. Either way, we recommend based on your sales process.
How much does CRM setup and marketing automation cost?
Crisolva charges $400 to set up GoHighLevel, $750 to set up HubSpot and from $200 to clean up an existing CRM, and CRM Care costs $200 a month. The platform subscription is separate and paid by you. Published agency prices start at $997 for a GoHighLevel setup (ECOSIRE) and $1,950 for HubSpot onboarding (Orange Marketing).
Do we also pay HubSpot’s onboarding fee?
Only on HubSpot’s Professional and Enterprise plans. HubSpot charges a one-time onboarding fee on those plans: $1,500 for Sales Hub Professional, $3,000 for Marketing Hub Professional, and $3,500 or $7,000 on Enterprise. We’re not a HubSpot partner, so that fee is paid to HubSpot alongside ours. The free CRM and Starter plans have no onboarding fee.
We already have a CRM. Can you just fix what’s there?
If it’s HubSpot or GoHighLevel, yes, and most engagements start exactly there. The audit tells us what’s broken, what’s unused and what’s worth keeping; a cleanup is usually faster and cheaper than a rebuild. You only rebuild when the foundation genuinely can’t support your process. If it’s another CRM that does the job, the audit will say so.
What does marketing automation actually do for a small business?
It follows up and books without anyone having to remember. No response in two days triggers a follow-up, a booked call gets confirmations and reminders, and a missed appointment gets a link to rebook. For a small business, it’s the difference between leads handled and leads lost. The instant first reply comes from AI lead capture.
What do automated emails need to reach the inbox?
Authentication, a clean list and an easy way out. Gmail requires bulk senders, meaning anyone sending more than 5,000 emails a day to Gmail addresses, to set up SPF, DKIM and DMARC, offer one-click unsubscribe and keep spam complaints below 0.3%. Those rules have applied since February 2024.
Can we send texts from GoHighLevel in the US?
Yes, once your business is registered. HighLevel says A2P 10DLC registration is required when a business sends SMS or MMS messages to US recipients, which means registering your brand and each texting campaign with US carriers before you send.
Can we send marketing emails to UK contacts without consent?
Not to individuals. Under PECR, marketing emails and texts to individuals and sole traders need specific consent, unless the soft opt-in applies to existing customers. Companies can be emailed, and the ICO calls it good practice to keep a do-not-email list of any that opt out.
Can your team train ours to use the CRM?
Yes. We document every workflow we build and run live training sessions so your team actually adopts the system. A CRM nobody uses is the most expensive kind, so adoption is part of the job, not an add-on.
Does this connect to the AI chatbots and booking automation?
Yes, they’re designed as one system. The chatbot and WhatsApp flows capture and qualify the lead; the CRM scores it, routes it and runs the follow-up. One team building both means nothing falls in the gap between tools.
Can you connect our CRM to Google Ads and our website?
Yes. Website forms, booking and ad campaigns feed the CRM with their source attached, so the report shows which campaign or page produced each lead. When we also run your ads, that connection is how we judge them on qualified leads rather than form fills.
Who owns the CRM and the data?
You do. Everything is built in your accounts, under your ownership, and the platform subscription is in your name. There’s no agency lock-in: if you move on, the system and the data stay with you.
What does CRM Care include?
Small changes to workflows, forms and pipelines as your process changes, monitoring of your automations, data kept clean and a monthly report, for $200 a month. Bigger projects are quoted and approved first.

Stop paying for a CRM nobody uses
Tell us what you’re running and where it hurts. We’ll audit the setup, show you what’s broken and what’s salvageable, and give you an honest read on whether you need a cleanup, a rebuild or a different platform entirely.
